Turn two quantity exports into a traceable review
Receipt quantity review compares prepared receiving and invoicing snapshots for a chosen period or purchase-order scope. It groups records by the exact supplier, purchase-order number and purchase-order line, then shows signed net quantities and the source records behind each result. Download an HTML report for a human review and JSON for an inspectable structured handoff. It creates no accounting entry and does not approve an invoice.
Prepare both CSV inputs
Use the same seven column names, in this order: row_id,supplier,po,line,sku,unit,quantity. The first row is the header. Each source supports up to 500 data records and 200,000 characters. Paste CSV from a trusted export preparation step; this app does not connect to an inventory system or extract scanned invoices. Comma-separated quoted fields and escaped quotes are supported. An optional initial Unicode byte-order mark is ignored.
Give each source record a unique row_id within that source. A row ID can be repeated across the two sources because each is separately identified. Document numbers alone may not uniquely identify multiple lines; supply an appropriate record ID from your own records. The app cannot detect a duplicate document that was assigned a different row ID. Identifiers remain strings, so leading zeros and long numbers are retained.
Supplier, PO and line form the grouping identity. Matching is exact and case sensitive: PO-01 and po-01 remain different. The tool does not guess supplier aliases, strip zeros, merge purchase orders or match by SKU alone. Identity fields must be nonempty single-line text, up to 80 characters without leading or trailing spaces. Quoted commas are allowed inside these fields.
Units and SKU conflicts stop aggregation
Every record in a grouped purchase-order line must use the same exact SKU and unit label. If either differs, that entire group is flagged IDENTITY_CONFLICT and its totals are shown as Not combined. Source records remain in the report. The app never converts boxes to individual items, infers pack sizes, or decides that two different SKU spellings describe the same product.
This matters when a vendor supplies 10 boxes on one purchase order and 10 individual bolts on another. An invoice for 15 boxes against the first order cannot be compared with a combined total of 20. The fictional example keeps those orders separate and shows an invoice-above-receipt difference of 5 boxes for the first one.
Read the signed quantities
Quantities accept a plain signed decimal with up to three decimal places and a magnitude no larger than 999999.999 per source record. Commas, currency symbols, exponent notation and unit suffixes are refused. Arithmetic uses exact thousandths rather than binary floating-point rounding. Two receipts of 0.100 and 0.200 therefore total exactly 0.3.
A negative quantity is treated as an adjustment supplied by you. The app does not establish whether it is an authorized return, credit or reversal. Negative net totals get a separate review flag. Do not use the tool to invent adjustments or to conceal missing source records.
Flags describe these inputs only
EQUAL_QUANTITY means the two supplied net quantities are equal for a consistent line identity. It is not a full match, approval, proof of delivery or statement that payment is due. INVOICED_ABOVE_RECEIVED and RECEIVED_ABOVE_INVOICED describe the direction of the arithmetic difference. Invoice minus receipt is a quantity in that line's unit, never a monetary amount.
MISSING_RECEIPTS and MISSING_INVOICES mean one side is absent from these pasted snapshots. They do not prove a document is absent from your records. Different export dates, partial shipments, earlier invoices, cancelled lines and unrecorded returns can all change the interpretation. Prepare comparable source scopes and consult the original records.
Price, tax, exchange rates, order authorization, matching tolerances, accounting periods and payment terms are outside this review. Dedicated procurement systems can apply those rules with their own source records and controls. This small report is a quantity-exception handoff for a person to investigate.
Review and download
The screen starts with every grouped line. Expand a line's source record trace to inspect row IDs, quantities, units and record positions. The exceptions-only filter hides equal-quantity lines on screen; both downloads always contain every reviewed line and its source records. Editing either input or the title clears the old result so it cannot be mistaken for a current report.
The HTML download contains escaped text, source tables and the review limitations without scripts or remote assets. It can be retained as a static review copy. The JSON contains string quantities and complete grouped records; it is not a restore file or an accounting-system import format. Check each intended recipient and the contents before sharing downloaded files.
Temporary local processing
Pasted values stay in page memory. This app adds no account, analytics, network submission or browser storage for these inputs. Clear or reload removes the in-page report. Downloads are copies on your device and may contain supplier information; handle them according to your own document practices. The app sends no messages and makes no changes to external systems.
